IIL Camps Terms and Conditions

(IIL Camps refers to the holiday camps organised by the Institut International de Lancy 

The French version is legally binding

1. Conditions of registration and payment

  1. Registration
    1. Registration for the IIL Camps takes place online at www.iil-camps.ch. Registration is definitive upon receipt of the automatic confirmation email (please note that this email can sometimes end up in spam folders).
    2. By submitting the online registration form, the guardian declares that he/she has read this contract and agrees to abide by it.
    3. In order to guarantee the quality of the activities, the number of places is limited.
    4. The camp prices shown on the website include snacks, supervision, teaching, the use of specific areas/rooms, the various transfers and the equipment used to run the camps.
    5. Children attending the camps must be toilet-trained (for infants aged 3+).
  2. Payment
    1. Payment for camps is made by credit card on the website at the time of registration. Other methods of payment are not accepted. In exceptional circumstances, a bank transfer may be arranged, but registration will not be confirmed until full payment has been received.
    2. As soon as the basket has been finalised and the registration fee has been paid, a confirmation e-mail will be sent to the adult who made the booking. Further information about the camps booked will be sent by email at a later date.
  3. Modifications/changes

Whenever possible, a participant may change activity or camp week within the same edition, subject to availability and, if necessary, payment of the difference in price. All requests for changes must be made by email only to iil-camps@iil.ch . Changes requested verbally or via What’sapp will not be accepted.

2. Cancellation and refund policy

  1. Cancellation by IIL Camps

In the event of insufficient registrations, IIL Camps reserves the right to cancel a camp. At least 3 days’ notice will be given to the adult who made the booking. Where possible, IIL Camps will offer an alternative camp, however if this is unsuitable, IIL Camps will issue a full refund.

     2. Cancellation by families

All cancellation requests must be made by email to the following address: iil-camps@iil.ch

  • If a cancellation is received from a parent at least 1 month before the start of the camp, the full price of the programme, less a deduction of CHF 50, will be refunded. 
  • For cancellations received between 15 and 30 days before the start of the camp, 50% of the total cost of the programme will be refunded.
  • No refunds will be made for cancellations received less than 15 days before the start of the camp. The full price of the camp will be due.
  • In the event of repeated absences, late arrivals or early departures, no refund will be made. 
  • Requests for cancellation, before the beginning of the camps, on medical grounds must be made exclusively by email to iil-camps@iil.ch. The full price of the programme less a deduction of CHF 50 will be reimbursed, subject to presentation of a valid medical certificate stating that the participant is not medically fit to take part in the camps booked.
  • No refund will be made for any absence of a participant during a camp (including for medical reasons).

3. Insurance and liability

  • Camp participants must be insured against the risks of accident and illness that may occur during the camps, as well as against civil liability.
  • For children living abroad, health and accident insurance and third-party insurance for Switzerland must be taken out.
  • IIL Camps cannot be held responsible for the loss, theft or damage of participants’ personal belongings.
  • During the camps, children must respect the premises and equipment they use, their own, those of their campmates and those of the Institut. Legal guardians assume full responsibility for any material damage caused intentionally or unintentionally by their children.

4. Force Majeure

IIL Camps may suspend or cancel camps for reasons of force majeure. Force Majeure includes any cause beyond the control of IIL Camps, such as natural disasters or any other circumstances which may affect the operation of IIL’ business.
In the event of force majeure, parents acknowledge that the inability to provide the service is not attributable to IIL Camps. IIL Camps is therefore not obliged to make any refund, even partial

5. Camps organisation

  1. Reception conditions  

    1. Children are welcomed between 8.30 and 9.00 am for morning camps and for full day camps. Children attending afternoon camps only arrive between 1.45pm and 2pm. An adult must accompany the child to the camp reception. It is forbidden to drop children off in front of the school or to ask them to register themselves.

    2. Children are looked after until 5pm during the camps. Children can be looked after until 6pm, at an additional cost of CHF 20/day/child or CHF 75/child for the week.

    3. An adult must collect the child from the camp reception. Unaccompanied children are not allowed to leave the campus, with the exception of those whose parents have previously sent IIL Camps written authorisation stating that they allow their child(ren) to return alone. This authorisation must be communicated specifically for the camp period, and must therefore be independent of the authorisation already sent to IIL as part of the schooling process.

2. Transport

The legal guardians who make the reservation for the camps implicitly accept that the child be transported by IIL’s internal (IIL bus or on foot) or external (public transport) service providers, and in particular :

  • For camps taking place off the IIL campus
  • For occasional off-campus outings (multi-activity camp outings, multi-fun camp outings, etc.)
  • When the children walk to a destination, accompanied by IIL staff or IIL’s partners 

6. Behaviour and attitude  

  • During the camps, children are expected to behave in an exemplary manner and to use respectful language, i.e. without any vulgarity, insolence or verbal or physical violence. They must respect the cultural and/or religious sensitivities of their fellow campers.
  • Camp participants are obliged to follow the instructions given by the instructors and to observe the usual rules of safety and caution. IIL Camps reserves the right to exclude any participant whoe behaviour jeopardises the smooth running of the camp. Such exclusion will not give rise to any reimbursement.
  • In order to guarantee everyone’s safety, IIL Camps also reserves the right to refuse to enrol or to exclude a participant who is unable to understand and follow the rules.
    Mobiles phones and tablets:
    As participants do not need a mobile phone or tablet during the camps, they are strongly advised not to bring one. If participants need to contact a parent or another adult in an emergency, camp staff will give them access to a telephone. 

7. Image rights

  • By selecting “yes” for image rights on the registration form, the legal guardians authorise the Institut International de Lancy to publish photographs/videos of their child on the IIL/IIL-Camps website, social networks and in souvenir photo albums sent to parents. Without this authorisation (and therefore by selecting “no” for image rights on the registration form), the child will not be able to appear in the camp photo albums sent to parents. IIL camps is committed to ensuring respect for the individual in the choice of photos it publishes.
  • All private and individual information sent to IIL Camps is used solely for the purposes of organising IIL Camps activities. This information will never be given or sold to third parties.

8. Medical information

  • When registering a child for camp, it is the responsibility of the child’s legal guardians to inform IIL Camps of any health problems or other specific medical conditions that may or may not require preventive or regular treatment.
  • Any dietary requirements (intolerances, allergies, foods that cannot be eaten for religious reasons, etc.) must also be indicated on the camp registration form. IIL Camps cannot be held responsible if the legal guardians have not notified us of this information.
  • If a medical problem arises after registration, the legal guardians must notify IIL Camps in writing before the start of the camp.
  • Medical information concerning a child taking part in a camp must be communicated specifically for the camp period, and must therefore be independent of the information already sent to IIL as part of the child’s schooling.
  • If a child, as part of his/her schooling, benefits from the support of an ” Assistant de Vie Scolaire (AVS)”, the acceptance or the conditions of reception will be discussed with IIL camps before the registration is validated. 
  • IIL Camps does not provide sun cream, so it is the responsibility of parents to give their child(ren) one when the weather requires it. IIL Camps cannot be held responsible in the event of intolerance to sun cream lent by another child (unless the intolerance has been notified in advance).

9. Permission for medical care

  • The legal guardians authorise IIL Camps to provide their child with the necessary nursing care, and also to administer homeopathic treatment in the event of a headache, blow, bruise, lump, digestive problems and other “minor” ailments. If the child’s condition so requires, the legal guardians also authorise transport by ambulance to an appropriate care facility such as a hospital or community health centre.
  • The legal guardians must be contactable and able to ensure the return of their child(ren) at all times. If, however, the persons to be contacted in an emergency cannot be reached, the legal guardians authorise the doctor chosen by the authorities to provide their child with all the medical care required by his or her condition.
  • Finally, parents undertake to inform the IIL Camps management of any change in their child’s state of health, if different from that indicated at the time of enrolment.
  • Please note that the nurse present on campus during IIL Camps is not authorised to go off-campus.
